What we do with your documents.
What Takarda collects, why it is used, who receives it and where it goes.
Version 1
The short version
- What your team uploads is yours. Takarda handles it on your behalf.
- Files, values and downloads are stored in Johannesburg, South Africa. Takarda AI reads each page on Google Cloud in the European Union.
- We send Takarda AI page images, a page's text on a retry, and the descriptions of the fields you named. We do not send your product list, customer list, price lists or account name.
- You can ask for your data back or for it to be deleted, and you can complain to the Nigeria Data Protection Commission.
Who we are.
Takarda is the controller for your account, billing and use data. For the documents your team uploads, Takarda is the processor and you decide what is uploaded.
What we collect.
- Account details: your name, work email, company and a password, which is stored only as a hash.
- What you upload, and the personal data on it: names, phone numbers, delivery addresses, signatures and tax numbers.
- What Takarda works out from it: values, boxes, warnings, corrections and downloads.
- Records of use: the audit log and page counts.
- Messages you send us through the demo form.
- Documents you send us for a demo.
- Payment records: your plan and invoices, never card numbers.
Why we use it.
To read your documents and keep the evidence, to run your account and bill you, to keep the service secure, and to reply to you. We do not sell personal data. We do not use your documents to train any model.
Who receives it.
These are the services that handle data for Takarda, and what each does for you.

Where it goes.
Stored in Africa (Johannesburg). Takarda AI reads each page in the European Union.
Files, values and the audit log are stored in Johannesburg, South Africa. To read a page, Takarda sends the page image, and on a retry its text, with the descriptions of the fields you named, to Google Cloud, where Takarda AI runs in the European Union. Under the Nigeria Data Protection Act both are transfers out of Nigeria. We record the basis in your agreement with us.
Google's own terms apply to what it runs for us. It says it does not train on customer data without permission, keeps inputs and outputs in memory for up to 24 hours by default, may log prompts for abuse monitoring (Google data governance), and can take up to 180 days to remove deleted data (Google processing terms).
Documents you send for a demo.
A document you send us for a demo is read by Takarda AI on Google Cloud in the European Union. We use it only for your demo, it is never billed to anyone or used to train a model, and we delete it when you ask.
Your rights.
You can ask us for a copy of your data, ask us to correct it, and ask us to delete it. You can ask for your documents back as downloads. You can object to how we use your data.
You can complain to the Nigeria Data Protection Commission. We would like the chance to put it right first.

How files are kept apart, protected and signed is on the security page.
Children.
Takarda is not for children and does not read children's data on purpose.
